Client Services Coordinator / Associate

Based in New York City, the Client Services Associate is the principal point of contact for sophisticated individual travelers, coordinating their arrangements on an array of high-end domestic and international programs, and regularly interfaces with institutional representatives. Reporting to the Manager of Client Services, this customer service and sales representative is an essential member of a dynamic team whose common goal is to create the very best travel experience for our travelers and sponsors.

Client Services Associate Job Duties:

  • Provide professional and polished customer service to potential and current travelers; take inquiries and respond to customer needs, gather information and research, and deliver detailed and personalized materials in a timely manner.
  • Cultivate and follow-up with interested travelers and prospects, including suggesting and implement marketing initiatives to fill programs.
  • Project manage 1-4 program departures per month working collaboratively with internal staff and across departments to organize logistics for each program and traveler.
  • Coordinate travel arrangements for individuals; including invoicing, data entry, mailings, insurance, visa applications, and flight plans.
  • Liaise with sponsor representatives regarding enrollment, important traveler correspondence, tour materials, and other issues that arise.
  • Diligently follow-up on payments and missing traveler informaon./lir> lfill your above responsibilities.

Client Services Associate Skills and Qualifications:

Verbal and written communication, listening skills, comfort on the phone, customer service, attention to detail, organization, multi-tasking, problem-solving, relationship building, administration, data entry, project management, account management, self motivated, teamwork. Bachelor's Degree required, interest in Liberal/Fine Arts strongly desired.

Manager, Operations and Development Job Duties:

The firm is currently seeking a seasoned professional for a position in our Tour Operations department. Responsibilities would be the day-to-day management of complex travel programs, interaction with the firm's international suppliers, and itinerary development. The work environment is fast-paced and team-oriented, and demands superior organization skills and discipline.

Manager, Operations and Development Skills and Qualifications:

The successful candidate will possess at least 5 years experience with:

  • High-end group travel operations or event planning
  • Contract negotiations and bookings with hotel, cruise and land operators
  • Special event research and booking
  • Program itinerary research and production

Experience living and working in a foreign locale, as well as foreign language skills, are pluses. Superior writing and speaking abilities are necessary. Organizational skills and the ability to work effectively in a deadline-sensitive business are essential. Proficiency in Microsoft Office is required and an aptitude for working with a database is an advantage. Additionally, the employee will be expected to travel occasionally to accompany programs as a travel director and/or attend trade shows.

Client Services Internship*

The intern supports all activities inside the Client Services department. The CS staff are the principal points of contact for the firm's institutional sponsors and individual travelers. To be considered, candidates must be pursuing or have a four-year college degree. Organizational skills are key, and the ability to work effectively in a deadline-sensitive business is essential. Proficiency in Microsoft Office is required, and the ability to learn other software-based management tools is required.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Provide data, analytic, and administrative support to the Client Services Associates and Sales teams
  • Help with marketing efforts, including list pulling and promotions
  • Assist with ViaTour database management, a custom Microsoft Access platform, including updates, quality assurance, and tour processing
  • Compile mailings materials and documents for upcoming trips
  • Assist with content updates on website, blog, and other digital assets
  • Support social media platforms
  • Help with general office tasks on an as-need basis

DESIRED SKILLS AND EXPERIENCE:

  • Knack for problem solving, collaboration, and project management

Manager, Communications & Data Specialist

Arrangements Abroad is looking for an organized, detail-oriented, and personable communications and data specialist to join our team. This professional should be able to multi-task and work in a fast-paced environment. Key responsibilities include trafficking print and digital projects including print brochures, catalogues, newsletter e-blasts, and other marketing initiatives. This dynamic individual will also assist with initiatives related to our CRM and project management database integrity, quality assurance, tour promotion, and other analytic efforts throughout the company. Applicant must have experience working as a client-to-production liaison and cross-departmental collaboration. This position will involve approximately 70% traffic and 20% data.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Maintain production schedules for brochures and other projects
  • Traffic projects through production and approval processes; schedule and track all projects effectively, to ensure that they are delivered on time and within budget
  • Collaborate with Marketing & Communications and Sales departments and act as sponsor representative, including reviewing proofs prior to submission to clients
  • Coordinate details of production between internal staff and external vendors
  • Coordinate with mail houses and manage all the specifics related to each print job
  • Manage and maintain quality control of the Access Database CRM, ViaTour, for the department, including data entry, pulling reports, and list management

SKILLS & QUALIFICATIONS

  • Ability to manage multiple projects simultaneously in a fast-paced environment
  • Excellent written and verbal communication skills in English; fluency in other languages a plus
  • Knack for problem solving, collaboration, and project management
  • Willingness to jump in and help with a busy production schedule for brochures and marketing pieces
  • Passion for customer and user experience/li>
  • Creative Cloud suite applications a plus -- especially InDesign, Illustrator, and Photoshop
  • Experience in direct mail and list hygiene desirable
  • Advanced Excel skills a plus
  • Experience with relational databases, HTML, CSS, and/or SQL queries a plus
  • Familiarity with Google analytics, Google AdWords, common social media platforms, and iContact or other email platforms
